This policy explains what personal information TrailMate 4WD collects, why it is collected, who it is disclosed to, how it is protected, and the choices available to you. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Information we collect

  • Account details — email address, display name, home state, optional phone number, optional profile picture and optional emergency contact name and number. We send a verification email when you sign up to confirm the address is yours.
  • Content you create — trips, destinations, dates, travellers, packing checklists, budgets, vehicle details (make, model, trim, engine, registration, odometer), maintenance records and any photos you upload.
  • Billing information — subscription plan, status and billing period. Card details are collected and stored by Stripe, not by us.
  • Technical data — device and browser type, approximate location derived from IP, log and error data used to keep the app working.

2. How we use it

  • Provide the app: saving trips, checklists, vehicles and maintenance reminders.
  • Calculate fuel, distance and budget estimates.
  • Process subscriptions, payments, renewals and cancellations.
  • Provide support, security, fraud prevention and product improvement.
  • Send service messages. Marketing emails are optional and you can opt out any time.

We do not sell your personal information.

3. Who we share it with

We share data only with service providers who help us run the app, and only as needed:

  • Hosting and database — our cloud hosting and database provider stores your account and trip data securely.
  • Stripe — payment processing and subscription management.
  • Analytics and error reporting — aggregated usage and crash data.
  • Maps, search and third-party links — when you search for a place, open directions, check fuel prices or open a supermarket shopping list, that request goes to the relevant third-party service under its own privacy policy. We do not send them your account details.
  • Law enforcement or regulators where we are legally required to disclose information.

Some providers store data overseas (including the United States and the European Union). Where that happens we take reasonable steps to ensure your information is handled consistently with the APPs.

4. Location, photos and content you share

  • Location — the app only reads your device location when you ask it to (for example dropping a pin on a bucket-list spot or getting directions). You can refuse or revoke that permission in your device settings and the rest of the app keeps working.
  • Photos — vehicle, spot and recipe photos and your profile picture are stored in private buckets and served through short-lived links. Only you can see them unless you publish a spot or share it with your convoy.
  • Convoy and group trips — when you join a trip with a share code, other members of that trip can see your display name, the rig details you share, your packing list, recovery gear and expenses you log for that trip.
  • Public spots — if you set a spot to public, its name, location, photos, rating and notes become visible to other users along with your display name. Set it back to private at any time.
  • Push notifications — if you enable them we store a device token so we can send trip, packing and servicing reminders. Turn them off on your device or in the app.

5. Cookies and local storage

We use cookies and browser local storage for essential functions only: keeping you signed in, remembering preferences, and enabling offline access to your saved trip data. We do not use advertising cookies. You can clear or block storage in your browser, but the app may not work correctly if you do.

6. Security and retention

Data is encrypted in transit, access is restricted by row-level security so you can only read and write your own records, and vehicle photos are stored in a private bucket accessible only to you. We keep your data while your account is active and for a reasonable period afterwards to meet legal, tax and accounting obligations, then delete or de-identify it.

7. Access, correction and deletion

You can view and edit most of your information in the app. To request a copy of your data, correct it, or delete your account entirely, email support@trailmate4wd.com.au. We respond within 30 days.

8. Children

TrailMate 4WD is not directed at children under 15. We do not knowingly collect their personal information. If you believe a child has created an account, contact us and we will remove it.

9. Complaints

If you think we have breached the APPs, contact us first and we will investigate. If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

10. Changes to this policy

We may update this policy as the app evolves. Material changes will be notified in the app or by email, and the “last updated” date above will change.

This document is governed by the laws of Western Australia, Australia, and the parties submit to the non-exclusive jurisdiction of its courts.
